Law Enforcement Notification System

General Information

Flyover Text exists for majority of fields, which will define the information.

If a user has not signed on in six months, their user id will be terminated automatically. New entry by your Administrator will be required.

E-Mail link appears on every page for the user to contact LENS ADMINISTRATOR.

LENS will be unavailable during Department back-up procedures:

Monday through Saturday – 3:00 am – 6:00 am

Sunday – 10:00 pm – 6:00 AM

 

Log On Screen

  1. User Id – User ID must be a valid e-mail address.
  2. Password – Must contain at least one number and one lowercase letter and be 8 to 12 characters long with no embedded blanks.
  3. Error messages will display to indicate incorrect information.
 

Main Menu

  1. Lens Notifications – messages of known problems or enhancements that have been made to the system
  2. User will receive only those menu options to which they have access.
  3. Click on Menu Option.
 

Manage My Subscriptions to Offenders and Events

  1. First time the User signs onto the system they will receive a screen that states, “You are not yet subscribing to any offenders”.
  2. You must add and search for offender to subscribe to.

Add Offender

  1. Click Add Offender Button.
  2. Search for Offender Screen will appear.
  3. User must enter search criteria.
  4. If only one offender exists for search criteria, user will arrive at the Offender Home page.
  5. If multiple offenders exist for search criteria, user will receive the Offender Grid with identifying information displayed.
  6. User will select the offender they wish to view.
  7. If this is NOT the offender they wish to subscribe to, they will use the Browser BACK button to return to the Offender Grid.
  8. Once the correct offender is chosen, user will click on the Subscribe Button.
  9. The Events page will be displayed. User may choose one, several or all Events they wish to be notified upon.
    1. Release from Institutional Custody to P&P Supervision – offender will be supervised by a P&P officer.
    2. Release from Institutional Custody, No Supervision – offender is no longer supervised.
    3. Scheduled Release Date Notification – Prior notification of the anticipated release date from an institution.
    4. Parole Hearing Date - This is the next scheduled parole hearing date.
    5. Change in Maximum Discharge Date – The maximum discharge date has been modified.
    6. Return to Incarceration – Offender has been returned to institutional custody for supervision.
    7. Transfer to Another Institution – Transferred to another DOC facility.
    8. Escapes – The offender has left supervision and is wanted.
  10. Click the Update Button.
  11. User will receive message “Your changes have been saved”.
  12. When these Events occur for the selected Offender, an e-mail notification will be sent to the User.

Change Events for an Offender

  1. Select the Offender you wish to update and click the Event Button.
  2. User may deselect, or add Events.
  3. Click the Update Button.
  4. User will receive message, “Your changes have been saved”.

Delete Offender and Events

  1. Select the Offender you wish to delete and click the Delete Button.
  2. Offender information will be displayed with a message, “You have subscribed to events for this offender. If you click the delete button the offender and all events will be deleted”.
  3. Click the Delete Button.
  4. User will receive message, “Offender and associated events deleted”.

Inquire on Offender Under Supervision

  1. Search for Offender Screen will appear.
  2. User must enter search criteria.
  3. Name search does not allow *wild cards.
  4. User can enter DOB without any slashes and program will convert automatically.
  5. MOCODE search only requires first two characters of the MOCODE.
  6. Zip code entry will search for both Home Address and Employment Address for all Offenders who are being supervised by Probation and Parole.
  7. If only one offender exists for search criteria, user will arrive at the Offender Home page.
  8. If multiple offenders exist for search criteria, user will receive the Offender Grid with identifying information displayed along with Active or Discharged status.
  9. User will select the offender they wish to view.
  10. If this is NOT the offender they wish to view, they will use the Browser BACK button to return to the Offender Grid.
 

Offender Home Page

Administrative Button – Gives the offenders current location and status.

Events Button – Gives the history of Events which have occurred.

Subscribe – Enables the user to subscribe to events for this offender.

Photos – Lists all photo's available for this offender.

From the Offender Home Page, user may subscribe to events by pressing the Subscribe button. (See Add Offender section above).

Display DOC Locations

This page has every DOC location with address and phone number.

Change Password

  1. User ID and User Name are protected.
  2. Enter current password
  3. Enter new password – Must contain at least one number and one lowercase letter and be 8 to 12 characters long with no embedded blanks.
  4. Re-enter new password – Validation will be made.
  5. Return to Main Menu screen with message, “Password successfully changed”.
 

Lens System Administrator

Every law enforcement agency will have at least two Agency Administrators. These Administrators are responsible for the maintenance of their users. They will be able to Add, Change, Delete users, reset passwords and Activate or Inactivate users.

The Administrator will receive a grid listing all of their Users.

Add User

  1. Click Add Button.
  2. Agency ID is protected.
  3. User ID – User ID must be a valid e-mail address. Edits are in place.
  4. User Name – Users name (upper and lower case).
  5. Password – Must contain at least one number, and one lowercase letter and be 8 to 12 characters long with no embedded blanks.
  6. Re-enter password. Validation will occur.
  7. Active – Yes or No (defaults to Yes)
  8. Select Add Button
  9. Returned to Agency User grid with message, “User successfully added”.

Change User

  1. Click Change Button next to User you wish to change.
  2. User ID is protected.
  3. User Name – Users name (upper and lower case).

Delete User

  1. Click Delete Button next to User you wish to delete.
  2. User information will be displayed.
  3. Click the Delete Button.
  4. Returned to Agency User grid with message, “User successfully deleted”.

Activate/Inactivate User

  1. Click the Activate or Inactivate Button next to User you wish to change.
  2. User Grid will be updated with the appropriate change.
